Parknic will promote your menus which are listed on your partner page. We will provide the packaging, take the orders, process the payments, and take care of all admin. This allows you to concentrate on preparing the best menu possible and dealing directly with the customer for the pick up or delivery.

To join Parknic there is a signing on fee which will be discussed when Parknic receives your enquiry form. This fee will pay for the partner page and supply an agreed amount of packaging upfront.

All partners are listed on our partner page. This will provide details about your business including opening times, food standard hygiene and of course your menus.

If you would like to speak about the services of Parknic please complete the enquiry form on the "become a partner" page. We will arrange a time to speak with you to explain the service and the details we will require for your business to be added as a partner onto the Parknic system. The details required will be about your business, hygiene rating, opening times and how you operate within the local community. 

Through the system, we can create a page which is accessible for all consumers or we can create a closed page which is available for invite only. 

Parknic would like to be associated with the highest of standards when it comes to partners and the quality of the menus. On sign up (and at least once a year) Parknic will check the food standards agency. The minimum food rating has to be 4. Additional checks can also include the feedback from customers (if at review stage) along with the quality and variety of the menus provided. 

The minimum food standard which Parknic will accept from a partner is 4. This will be reviewed at least once a year. If the food standard falls below a 4 Parknic has the right to terminate the agreement with the partner and cancel all outstanding orders.

When a partner is signed up onto the Parknic platform, Parknic will provide the partner with a certain amount of picnic boxes (and its packaging contents). This will be agreed with the partner depending on the expected number of sales and if bespoke packaging is required. When an order is placed the portal will manage the packaging stock and take away the amount from the original stock allocation. When the stock levels are at a certain level (agreed at the beginning of the agreement) Parknic will deliver another batch of packaging. All costs for packaging are debited from the gross payment which the customer pays for. Parknic will agree the amount at the start of the agreement with the partner which Parknic will retain on all orders.

Once the customer has chosen the menu from the partner, all orders will be put through on the Parknic system. This will then allow the partner to manage the stages of the order and the customer can see where the order is through their account.

Yes, once the terms of business have been signed and are in place. Parknic will then approve all branding to be listed on the partners website and literature. This will promote the menus and brand through the partners associated sites.

On the Parknic system the partner can set up a closed page for specific events. This will allow the partner to control the customers with the pages they use in the system. The partner can add the specific link to invitations, ticket sales or specific communications to customers which therefore restricts who can access the events page. Only customers who have been issued this specific link can therefore order through this specific page. 

On the partners home page (only accessible to persons set as administrators, or Parknic), you can set your status to closed. This means your page will still be accessible to customers but when they go to place an order it will state you are closed. This can be used for when the partner is closed, fully booked or has limited capacity.

One administrator will be set up when the partners account is activated at the partner’s firm. Once initiated that administrator can add as many other persons as required at the partners business. Parknic can also add more than one person at the start of the partnership. An Audit trail will be managed through the system so any changes can be tracked with the person, date and content.

We would really like you to promote your local suppliers. We encourage you to list them on your menu and showcase the best of what the local suppliers have in your area. By doing this the customers can buy directly from the suppliers (if possible) and will create an ecosystem of local sustainability.

Through the partners account you will be able to see a reports section. This will supply you with the details of orders over a certain time frame and at what stage the orders are at. The reports can be used for management and to also keep an eye on the P+L of the account. Please remember that the pre agreed Parknic fee will be deducted from any remunerated amounts sent to the partner from the gross sales when an order is placed.

The partner is responsible for updating each of the order status. The customer will then receive a confirmation email or SMS (which ever they have selected through their account profile) once a status has been updated or changed.

Created - The order has been submitted to the selected partner.

Accepted - The partner has accepted the order (should be within 24 hours of placing the order).

Preparing - The partner is working on the menu and it’s in the kitchen/under the chef’s control.

Ready - Its ready for collection or delivery.

Collected - The order is with the customer or on its way.

The administrator’s email will be logged as the recipient of all order updates. This will be for new orders being submitted through the portal along with any cancellations.

When an order is submitted by a customer the partner must accept the order through the portal system. If the order is not accepted, the customer will not receive an order confirmation followed by status updates thereafter.

All content for the partners page is accessible by the administrators of the account. The partner has access to update or edit any of the content which is visible on the partners home page.

A "how to guide" will be provided when a partner has agreed to the terms of business in order to use the system. 

The partner has the option to add alcoholic beverages to the menus and have these included or set up as an additional service with the correct costs. It is the partner's responsibility to make sure that when the collection or delivery is made the customer can demonstrate suitable proof of age. The customer does have to confirm they are over 18 when creating an account with Parknic. The partner of course has to hold the appropriate licences in order to sell alcohol. 

Every partner will have the ability to state how many hours or days are required before collection or delivery. If an order is placed by the customer and it is after the cut off time the partner has selected, the time slot on the order confirmation will not be visible. The customer will then have to select another date or time.

Parknic recommends you accept or decline an order within 24 hours of receiving the order. The customer will need to know if the order has/can be accepted. If for some reason the partner is unable to accommodate the order, they will need to decline. This will then inform the customer that they will have to find another menu from another partner.

Please note, the customer will have paid for the menu and so if the partner has to reject the order, Parknic will need to arrange a full refund, if within the timescales of the stated terms of business. 

The partner is wholly responsible for all menus, supplies, preparation, and collection/delivery of the order.

It is down to the partner to state on their homepage if you offer a collection only service or delivery. If it is collection only the partner must state where within the facilities the order is to be collected from. This can be stated on the order confirmation to the customer.

When the partner is added to the portal system Parknic will confirm what your cancellation process will be. It is down to the partner to decide what is appropriate due to the supplier orders, preparation, and logistics of the order. Parknic will accept the payment and remunerate the agreed amount to the partner within a specific timeframe. If a customer cancels and the funds have already been remunerated to the partner, the partner will need to return the funds back to Parknic who will return the funds back to the customer.

There may be cancellation costs incurred to the customer and customers are made clear that refunds are subject to the partner. 

Parknic will receive all payments for all orders. Once Parknic has received the funds from the customer, Parknic will retain the monetary value as agreed with the partner agreement. Parknic will then remunerate the remaining funds to the partners designated bank account within the agreed time frame (usually 48 hours of receiving the funds from the customer or on a certain day of the week following funds being received).

Parknic uses a payment service to receive funds from the customer. All customer payments will be received into the Parknic bank account directly.

The partner has access to create promotional codes through their homepage. The partner can create the promotional codes in line within their business plan or customer demands. Any discounts are debited from the gross funds which are allocated to the partners amounts of the payment, not from the Parknic allocated monetary value.

The customer will state any dietary or allergies on the order when submitting. There is a free type box on the order confirmation. If there is any doubt the chef can contact the customer on email to confirm, and/or the customer will contact the partner directly.

All complaints will be reviewed by Parknic. If the complaint is of the service provided through the portal Parknic will investigate. If the complaint is of a service which has been provided by the partner, the partner will be responsible.

Parknic will provide a batch supply of packaging required for the partner to produce a certain number of services (numbers agreed on signing up stage). This packaging will be logged against the partners portal. When a menu is selected and the service is prepared, the stock will be allocated against each service. The packaging will then be debited from the original stock allocation so Parknic can see how much has been used. When the packaging gets to a certain level Parknic will supply more packaging and allocate on the portal.

All charges for packaging will be debited from the customer order. Additional fees may be charged if the packaging is damaged/lost/stolen and is deemed to be the partners fault. 

If the partner causes damage to the packaging stock and requires more to supply the menus to the customer, there will be additional fees for extra packaging. Each packaging item has a cost which will have to be covered by the partner.

When the menu or sundry is added to the portal, it is the partners responsibility to add the applicable VAT for that item (all items are set to Yes as a default for VAT charged). Parkinc will charge the VAT to the customer on the Vatable items in the service and state the Parknic fee and delivery fee separately. The customer will have a full VAT breakdown on their invoice. 

The customer VAT invoice produced by Parknic will be itemised with the applicable VAT. Parknic will renumerate the appropriate VAT amounts to the partner who will then arrange payment to HMRC for the appropriate levels of taxes. The VAT chargeable on the Parknic fee will be the sole responsibility of Parknic. All other VAT amounts will be the responsibility of the partner.
